The Client Key Energy Services is an American oilfield services company headquartered in Houston, Texas. The company has over 7,500 employees.
The challenge as a company with complex rules around payroll procedures and managerial functions, Key Energy faced several roadblocks with their previous Workforce Management system that led them to identify a need to implement a new Workforce Management system.
The first of these roadblocks revolved around automation in paying employees. Daily pay rates for workers in the oil industry can be affected based on several factors. These factors include the time of day the employee is working, the position the employee is filling, or the special equipment the employee is working with. With Key Energy’s original Workforce Management solution, employees reported their hours onto a timesheet and then each timesheet had to be manually updated by an administrator to calculate the correct pay rates. This demanded a significant amount of administrative time as well as increased the chances of paying employees incorrectly based on human error.
A second challenge faced by Key Energy Services was related to the way their managers interacted with the existing WorkForce Management system. Managers are responsible for several approvals each and every day. These types of approvals vary from invoices, requisitions, and purchase orders to HR forms, timesheets, and time off requests. In the previous Workforce Management solution, managers were expected to log into several different platforms to complete each of these approvals. This significantly increased the time and effort required to complete simple tasks during a manager’s already busy day.
The final reason that led Key Energy to seek a new solution centered on the customer service experience they were receiving from their previous Workforce Management system. The previous vendor’s response times and resolution times to the daily issues they were having with the system was less than stellar. The Key Energy team realized there had to be a better way they could improve operational efficiency and reduce roadblocks for HR, managers, and employees, so they selected a new Workforce Management system, WorkForce Software, and a trusted implementation partner, HRchitect, to ensure project success.

The Solution The dedicated consulting team at HRchitect worked alongside the Key Energy team to ensure the implementation of the new Workforce Management system was a success. HRchitect determined resolutions to each and every Workforce Management need, and implemented the WorkForce Software platform in order to meet each of those requirements.
Using complex configuration of the WorkForce Software solution, HRchitect was able to automate the process of pay rate differentials and decrementing. Based on employee data, activity based costing selection, the time of day, and several other factors, HRchitect automated all pay rate changes alleviating the need to have administrators review and manually update that information.
WorkForce Software also offered the capability of using APIs to complete approvals outside of the Workforce Management system. The Key Energy team created an HTML5 and Web Services Method that HRchitect interfaced between WorkForce Software and Key Energy’s external platform. In doing so, managers could now log in to only one system and complete all approvals, such as timesheets and time off requests at the same time and with seamless integration.
With a successfully implemented Workforce Management system that handled everything Key Energy needed, the last piece of the puzzle revolved around the customer experience.
